The instructions found on this page are for the latest Voice Mate. However, most of them will also apply to earlier models. We've added headings to aid in locating the desired information.
The 3rd generation Voice Mate uses the latest in digital data storage and voice recognition techniques to provide a multi-purpose device with the following functions:
PHONEBOOKThe Voice Mate is very easy to use and we are convinced that you will carry it everywhere. This manual will demonstrate how it works and help you become familiar with the functions of your new Voice Mate.
The Voice Mate is thin and rectangular. On the top, curved edge of the Voice Mate is an LCD screen. Underneath the small screen is a protruding rubber button. This button is the “Function Selector,” pressing it cycles through the various functions of the device.
The microphone is set to the right of the function selector. It is a small protrusion with three vertical slits. The two notches that allow the lid to be opened are just underneath the function selector and the microphone, spaced a bit further to the left and right. To open, use your index finger to lift the lid from one of the notches. For now, close the lid if you have opened it.
On the top and center of the lid, two large, outset bumps bookend a series of vertical slits, which form the speaker grill.
To the upper-left-hand side of the unit is the click button. On the same side just under the click button is a data transfer port. The data transfer port is used in conjunction with the optional Voice Mate Backup Kit. It allows you to plug your Voice Mate into your computer to back up your data or upgrade the operating system of your organizer.
The earphone port is on the right-hand side of the Voice Mate, opposite the click button and data transfer port.
On the back of the organizer, in the upper-right-hand corner is a small hole. This is the reset button. You can reset your Voice Mate Organizer by inserting a pin or paper clip into this hole and pressing firmly. Also on the back, on the bottom of the organizer are two battery doors. Between the two battery doors is a sticker on which the serial number of your organizer is printed. This serial number is required for all warranty issues.
The Voice Mate Organizer requires 4 AAA batteries. The Voice Mate has two battery bays. Two AAA batteries per bay need to be inserted with the plus side pointing downward. You can use normal alkaline batteries or rechargeable batteries of type NiMH (Nickel Metal Hydride), 750mA. Upon inserting the first two batteries, the Voice Mate Organizer will speak the operating system version number and the first function, which is the “Phone Book.”
To open the lid, use your index finger to lift it open at one of the notches.
On the top there is a circle with 4 rubber buttons.
On the top left you have the MENU key to configure each function.
On the top right you have the CLEAR key to erase information.
On the bottom left you have the YES key to validate an action.
On the bottom right, you have the NO key to cancel an action.
Beneath this circle are two buttons: a left arrow and a right arrow button used to browse the items in the current function.
Beneath the left and right arrows is a keypad. It is laid out the same as a keypad on a telephone.
Turning on the Voice Mate: By default, the Voice Mate is turned on by opening the front lid. If it has not been used for 30 seconds, it turns itself off. If the front lid is still open when the Voice Mate turns itself off, simply close and open the front lid to turn the Voice Mate back on.
The Voice Mate offers seven functions that you can reach with function selector button just under the LCD screen. With the door closed, press the function selector button to hear the name of each function. Note that when you reset the Voice Mate, it starts on the Phone Book function.
Voice Mate speaks: MEMO, APPOINTMENT, CLOCK, CALCULATOR, DIALING ASSISTANCE, CONTROL PANEL, PHONE BOOK
To record an item, press and hold the click button while speaking. Speak at a normal tone of voice, holding the Voice Mate approximately eight inches away from your face. Release the click button to stop recording. For the best results using voice recognition, be sure to record in a quiet environment, and speak clearly.
In this manual, a “click” refers to one press of the click button. A “double-click” refers to two rapid clicks on the click button.

Help Mode: This category has two options, Normal Help and Discrete Help. Normal Help provides some additional vocal prompts for many of the functions. Discrete Help turns off these vocal prompts. In general, this should be left on Normal Help mode.
Accessibility Mode: This mode can be turned ON and OFF. With Accessibility Mode OFF the Voice Mate is muted and it will not speak at all. In general this option should always be ON. If your Voice Mate is not speaking, take out and reinsert the batteries. If the Voice Mate says the OS version number and then says nothing, Accessibility Mode is probably OFF. You will have to re-enable it without spoken prompts. Follow this procedure to re-enable Accessibility Mode. Take out and reinsert the batteries. You should hear the OS version number. Wait a few seconds and open the front lid. Press the Function Selector button 6 times. This will bring you to the Control Panel. Press the Menu key, then press the Right Arrow key two times. You are now on the Accessibility Mode option. Press the Yes Button to change the option to YES. Now when you press the Left or Right Arrow, the Voice Mate should speak the option. If not, you should attempt to repeat the above procedure.
Sound: This option changes the style of the beep noises the Voice Mate makes when cycling through options. There are four sounds to choose from, or you can mute the sounds entirely. You can use the keypad digits to select the sound (1 through 4, or mute with 0). You can also cycle through the sounds with the Yes Button.
Shutdown After…: The Voice Mate automatically turns itself when no buttons have been pressed for a period of time. You can change the period of time with this option. Your choices are 20, 30, 40, and 60 seconds. The Yes Button cycles through your choices.
Pin Code Mode: This option allows you to set a pin code that must be entered before the Voice Mate can be turned on. After pressing the Yes Button on this option, the Voice Mate will ask you to type a four-digit pin code. Pressing the Yes Button again on this option will turn Pin Code Mode off. Warning: If you forget or mistype your pin code and can no longer access your Voice Mate, you will not be able to recover your data. Use this option with extreme caution.
Training Session: This option can be set to one or two training sessions. Setting this option to two training sessions will greatly increase the accuracy of the voice recognition system of your Voice Mate. When set to two training sessions, the Voice Mate will ask you to repeat any voice data that will be keyed for voice recognition. Set to one training session the Voice Mate will not ask you to repeat any voice recognition data.
Keyboard Lock: This option can be set to ON or OFF. With Keyboard Lock OFF, any button will turn the Voice Mate on, including the side Click button and the Function Selector button. Set to ON, the Voice Mate turns on when the Front Lid is opened. If the Voice Mate automatically turned off with the Front Lid open, pressing any digit on the keypad will turn the Voice Mate back on (as will closing and opening the Front Lid). In general, Keyboard Lock should be ON, this allows you to carry it in your purse or pocket without accidentally turning it on and recording ambient noise.
Send Data: This function allows you to backup data from your Voice Mate when used in conjunction with the Voice Mate Backup Kit. Detailed instructions are included with the Backup Kit.
Receive Data: This function allows you to restore data to your Voice Mate when used in conjunction with the Voice Mate Backup Kit. Detailed instructions are included with the Backup Kit.

(If you are in the Control Panel and double-clicking the Click button does not speak the percentage of free memory, press the Menu button, then try again.)

If you are using international dialing or wish to specify a single area code prefix for all of your phone numbers, please see the Dialing Assistance section for more information.
Open the Front Lid of your Voice Mate and press the Menu key. You will hear: Modify the phone number. The Arrow buttons allow you to cycle through the 11 options. Pressing the Right Arrow button, you will hear the options in the following order:

To recall a stored Phone Book entry, close the front lid. Press the Click button and say a name. The Voice Mate will use voice recognition to match the name. It will repeat the name it was able to match and speak the phone number associated with that name. Pressing the Click button quickly will cycle through the different phone numbers associated with the matched entry. Pressing and holding the Click button for a second will stop the Voice Mate when it is speaking a number.

To use the automatic dialing feature, first find the number in the Phone Book that you wish to dial. Hold the speaker of the Voice Mate directly to the mouthpiece of your telephone.
